Freight Hub
Price a load at the top, then every freight number we hold: the stored price table, the website-vs-API check, how close our weight guesses come, missing weights and dims, and how Rocket is answering. Every freight setting is under Settings, below the numbers.

Stored Freight Prices
Rocket takes about 40 seconds to price one freight load. This keeps a table of prices that come back instantly: from a supplier's dock to a ZIP prefix, priced at the heaviest weight and highest class of each band so it never charges less than the freight costs. It fills overnight, 10 PM to 6 AM Mountain, busiest routes first. Nothing here emails anyone or books anything, and nothing reads it at checkout yet.
Freight Rules
When everything going to one vendor on an order weighs at least this much, the order is marked freight-quoted automatically — it ships on a pallet with our carrier and the Fulfillment card switches to the weight/dims → broker-quote flow, instead of asking that supplier for their parcel rate. The + on any Order Contents line still overrides it either way.
A vendor with any item that has no weight in Shopify is never auto-flagged — the card shows “weight unknown” instead, because a missing weight must not read as a light one.
When a freight-quoted shipment weighs less than this, the Fulfillment card asks the supplier “what would you charge to ship this” instead of asking for weight and dimensions. Six interlocking tiles do not need a pallet built for them. Switching one bucket by hand still beats this either way, and a shipment with any unknown weight is never downgraded.
Both rules apply to deals as they refresh — the board serves a cached summary per deal, so a change reaches everything within a day rather than instantly.
Offline Freight Finalized Email
On an offline quote (RW- / JW-), once every supplier that was asked has answered and the last freight cost is saved — by anyone, an AI agent included — the deal owner is emailed “Freight finalized” from notify@ so they can review and send the quote. Once per figure; the saver is not emailed about their own save. Online orders and Abby are not involved.
The Freight Quote card's Apply button sends the same email whatever this switch says. This only decides whether a cost save sends it on its own.
Ryan’s safety net. When freight on an offline quote is completed by anyone other than Ryan — an AI agent or another admin — ryan@ also gets a short email: who finished it, what it cost, what the customer is charged, whether it is on the quote yet, and a link straight to the deal.
Once per figure, and skipped when the owner email above already went to that same inbox — so an RW- deal never produces two emails about one Apply. It still fires when the owner email is suppressed (no rep email on file, the owner saved it themselves, or the figure was already announced), which is the gap it exists for. Ryan finishing his own freight sends nothing.
You can leave this off. The Stuck Send Watch now emails you when a freight email did not go (including “no rep email on file”), so you hear about the failures without a copy of every success.
Put the freight on the quote automatically. Once every supplier that was asked has answered, the saved freight goes straight onto the customer’s quote — the Shipping & Freight row, the financials and the pay link — exactly as the Apply to Quote button does it. The owner’s email then reads “Freight has been applied” and there is nothing for anyone to click.
This is on by default. Apply to Quote is admin-only, so before this a rep’s deal sat showing freight Pending until an admin opened it. Nothing is applied while a supplier is still outstanding, an online order is never touched, and installation is untouched either way. Turn it off to go back to an admin applying every offline deal by hand.
Copy me when a rep requests freight. When a rep presses Request Freight on an offline quote, a copy goes to orders@ so the desk can pick it up. With this on, ryan@ is copied too (never on your own requests). Turning it off stops your copy only; orders@ still gets every one.
Email me when a freight request is left untouched. Every offline Request Freight opens a tracked task for the AI agent. If nothing has been done on it (no supplier ask, no freight cost) after 4 working hours the agent is woken again, and again at 8 (Mon-Fri 7 AM to 7 PM Mountain). With this on, if it is still untouched 4 working hours after that, ryan@ gets ONE email naming the deal, the rep and how long it has waited. Nothing after that.
Versions of the same job share one freight request. When a customer asks for several versions of a quote (RW-1379-A, -B, -C), the first version requested leads: the supplier is asked once, with every version in one table, and the other versions' freight is scaled from the lead's cost. Pressing Request again on a version that is already covered does nothing.
GoRocket Truckload Quote Request
When a shipment is a truckload, we do not run LTL rates on it — we email GoRocket’s ops desk and ask for a price. This switch arms the live send of that email. It goes from Abby at orders@ and carries the pickup and delivery, one line per pallet group with dimensions, per-pallet and total weight, the commodity and its NMFC, and the accessorials that apply. It asks for a rate and nothing else: it books nothing, rates nothing, signs into no carrier portal, and it never requests a liftgate — a truckload has none, and a request that asks for one is refused outright.
Off is the state it ships in. With it off the email can still be read (the preview) and an agent can still send itself a [TEST] copy to ryan@ — only the live send to the broker is refused. The live send is a human’s either way: an agent may draft it and test it, never send it.
Your reply on the test. Whether replying send on a truckload RFQ [TEST] emails GoRocket follows the one switch under Admin: Abby Sends After My Reply On A Test, together with the switch above. With either off, your reply wakes the agent and a person sends it from Admin.
When is it a truckload? Any one of these three is enough. Over that line, recording a GoRocket LTL quote on a deal is refused and points at the quote request instead, so nothing gets booked as LTL that should have gone on a truck.
JW-1288-A — 45 pallets, 88,830 lb — trips all three. The price is always measured; the weight and the pallet count are measured when whoever records the quote states them.
When is a GoRocket rate too far above what the customer paid? Either one is enough. Over that line, recording the quote is refused, so it never reaches a Book-ask without you seeing it. A deal with no freight figure yet (Pending, FREE, the online placeholder) is not measured.
RW-1298-A — AIT Threshold at $2,224.09 against $882.33 charged — trips both. An Inside Delivery or Threshold rate is refused too, unless the deal itself has Inside Delivery ticked.
Book Re-nudge
When the Order Desk emails you a GoRocket Load … ready to Book hand-off and the deal still shows no pickup date or PRO a business day later, the desk is woken to nudge you again (a reply on the hand-off thread, or a fresh internal note plus a line in chat). It asks twice, a business day apart, then stops. Recording the pickup or the PRO on the deal ends it at once. Weekends and federal holidays are skipped.
It emails nobody itself and never books anything. It only wakes the agent.
When GoRocket shows the load Booked, the deal is marked booked and the Book re-nudge stops. When it shows a PRO and In Transit, the PRO and pickup date are stamped on the deal (the customer's tracking email still comes to you as a TEST). Nothing is emailed by this check.
Freight Carrier Phone Numbers
The number a freight tracking email tells the customer to call to schedule their delivery ("you can call XPO Logistics at (800) 755-2728"). Parcel emails (UPS, FedEx Ground) do not use it. A freight carrier missing from this list stops the tracking email until a number is added here or by an agent.

Shopify Weights From Shipments
Every supplier ready notice teaches the freight data what a product really weighs. With this on, each night a weight measured on real shipments is copied onto that product's Shopify variants, where Shopify has no weight or is more than the drift below off. Estimates from the website number, a supplier sheet or the thickness of a roll are never written. A product whose variants are different sizes is skipped and listed here instead.
Crates for exact-weight suppliers. A dumbbell or plate weighs what its name says, so every weight/dims answer or ready email gives the crate's own weight (shipment minus goods). A one-crate shipment proves that many units and pounds fit on that crate size. The freight estimate puts an order on a proven crate, or says to ask the supplier. One supplier per line, every name it goes by after the "=".
GoRocket Tracking Webhook
Give this address to Jarrod at GoRocket. When a load's status changes, GoRocket posts to it and the worker reads that load from GoRocket itself: it records the booking, stamps the PRO once the truck has it, records the delivery, and tells the Order Desk. What the post says is never trusted on its own. Switched off, posts are only listed below.
